Position Title: Bookkeeper - (HHS Accounts)

 

Reports To: Assistant Superintendent of Finance 

 

Location:  Central Office

 

Status: Full-Time (FTE 1.0)  Monday - Friday, 11 months (August 1st - June 30th); 7:30 AM - 4:00 PM [with 30 unpaid lunch]

 

FLSA Status: Hourly

 

Union Affiliation: Howell Educational Support Personnel Association (HESPA)

 

SUMMARY:

The Bookkeeper is responsible for managing accounts of the Howell High School - Freshman Campus and the Howell High School 10-12 Building. The successful candidate must be knowledgeable in the areas of bookkeeping and secretarial functions.

 

ESSENTIAL FUNCTIONS:  

  • Manage activities of FC & HS General Fund, CTE Fund and High School Student Activity (HSSA) accounts.  Approximately 260 accounts.
  • Work with Central Office, HS Principal and LESA staff on budgets, appropriations, equipment disposals, budget transfers/amendments and balances.
  • Daily interface with student groups & staff regarding adherence to policy/guidelines,  purchasing of product and managing accounts
  • Prepare Purchase Orders for all HS accounts with the exception of Athletic Department  
    • Review requests against HPS guidelines and budgets
    • Obtain appropriate approvals
    • Generate PO in Schools-Open system
    • Order product
    • Reconcile shipments
    • Prepare PO packet for payment processing
  • Process invoices for products & services for all accounts and reimbursements for HSSA accounts  
    • Check for appropriate information per guidelines and budgets
    • Obtain appropriate approvals
    • Prepare payment packet for processing
  • General fund reimbursements are sent to Business Office
  • Student Activity reimbursements are processed by HS Bookkeeper
  • Process checks for all HSSA accounts
  • Code credit card transactions to appropriate accounts and provide statements to the Business Office.
  • Receipt of funds.
    • Verification of deposits for some General fund accounts and all HSSA accounts
    • Make deposit of funds at bank
    • Receipt transaction into appropriate student activity account 
    • Maintain record of transaction in HSSA Checkbook for Business Office Balance Sheet
  • Reconcile Vendor statements with appropriate HSSA account
  • Follow up on collection of Non-Sufficient Funds (NSF) checks
  • Maintain Cosmetology ledger.  Follow up with students on contracts and payments.
  • Reconcile Federal government deposits with AFJROTC account expense disbursements
  • Reconcile PayPal and RevTrak activities with appropriate HSSA account
  • Prepare Sales Tax reports for Kilt Shack and Highlander Restaurant on a monthly basis.
  • Generate invoices for internal department transfers and the LESA and other external groups.
  • Transport and file all HSSA check/PO packets at year end to Central Business Office.
  • Regular attendance.
  • Other duties as assigned.

EDUCATION AND EXPERIENCE:

  • Associates degree preferred.  
  • Prior accounting, bookkeeping, secretarial experience preferred, preferably in a public school district setting.

LANGUAGE SKILLS:

  • Ability to read and comprehend instructions and correspondence. 
  • Ability to read and interpret documents and policy procedure manuals.
  • Ability to write reports and business correspondence.
  • Ability to respond to common inquiries or complaints from staff, vendors or the general public related to position.
  • Ability to effectively present information to staff and administrators.

MATHEMATICAL SKILLS:

  • Ability to perform math using whole numbers, common fractions and decimals consistent with the duties of this position.
  • Ability to apply concepts of basic algebra to calculate figures and amounts such as discounts, proportions and percentage.

REASONING ABILITY:

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral and diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations and where only limited standardization exists.
  • Ability to define problems, collect data, establish facts and draw valid conclusions.

  • Ability to effectively present information and respond to questions.
  • Ability to operate a personal computer and related software including word processing, spreadsheet and database programs. (e.g. MS Word, Excel, PowerPoint, Google Docs, etc.).
  • Ability to create documents that are well organized and display information that is logical and graphically appealing.
  • Accounting skills and analytical ability to evaluate information. Ability to perform reconciliations.
  • Ability to operate Google Docs, including Google email.
  • Self motivated and willing to learn.
  • Ability to learn software and web-based programs as needed.
  • Ability to seek and retrieve information from the internet and other sources.
  • Ability to perform duties with awareness of all District Requirements and Board policies.
  • Excellent interpersonal skills with ability to communicate effectively, speaking clearly and communicating thoughts succinctly.

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  While performing the duties of this job, the employee is regularly required to coordinate hands, eyes, feet and limbs in performing semi-skilled movements such as operation of a computer keyboard, telephone, calculator and dictation equipment. The employee is occasionally required to exert light to medium physical effort in sedentary and light to medium work involving lifting, carrying, pushing, walking, standing, reaching with hands and arms, climbing, balancing, stooping, kneeling, crouching or crawling. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision, distant vision and ability to adjust focus.

 

ENVIRONMENTAL ADAPTABILITY:

The work environment characteristics described herein are representative of those an employee encounters while performing the essential functions of this job.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  The noise level in the work environment is moderately quiet. The work environment is normally indoors with controlled climate conditions.  Occasionally, the employee may be required to be outdoors for a short period of time while traveling to a different location to retrieve items, and may therefore be subject to varying weather conditions, for purposes of accomplishing the essential functions of this job.

 

TERMS

Salary and other employment conditions are to be established by the collective bargaining agreement between the Howell Public Schools and the Howell Educational Support Personnel Association, NEA/MEA (HESPA). The hourly wage for this position is within the $18.96 - 23.81/hour range depending upon educational background and work experience.  This position is permanent and has a 11 month work year.
